# Wiki app — knowledge base

## Introduction

**Wiki** contains the organization’s written knowledge: procedures, guides, team operations, answers to frequently asked questions. The content is organized into **spaces** (for example “HR Resources” or “Product”), which contain **pages**.

The application is accessible from the main menu (book icon), at the path `/app/wiki`, on desktop and mobile. Two tabs:

* **Pages** : all the pages you have access to, from the most recently modified to the oldest;
* **Spaces** : the list of spaces, with their audience and number of pages.

On desktop, a side menu displays the tree of spaces and their pages.

## Spaces

A space is intended for an **audience** : communities and/or collaborators chosen by name. Only these people can see the space and its pages. Choose the root community to address the whole organization.

### Create a space

From the **Spaces**, **New space** :

* **Last name** (required) and **description** (optional);
* **Audience** (required): the communities and collaborators who can read the space;
* **Who can edit** (optional): left blank, the whole audience can create, edit, and delete pages. Otherwise, only the members of the chosen communities and collaborators can; others can read without editing;
* **Icon** and **color**.

Only administrators create spaces. People under “Who can edit” can also read the space, even if they are not in the audience.

The number of spaces depends on the organization’s plan:

* **Macchiato plan** : as many spaces as needed;
* **without this plan** : **1 space**.

An organization that leaves the Macchiato plan keeps all its spaces and can still edit them; it simply can no longer create new ones.

### Manage a space

The menu **⋮** for a space (on its page, in the list of spaces, or in the side menu) offers **New page** to people who can write in the space. Administrators also find there **Settings** (name, audience, who can edit, icon, color) and **Delete**. Deleting a space deletes **all its pages**.

The order of spaces can be changed by drag and drop; it is reserved for administrators and applies to the whole organization.

## Pages

### Read a page

A page displays its content, the space it belongs to, its parent page if applicable, and its last modified date. A page can contain **sub-pages**, on a single level.

### Create a page

From **New page** (Pages tab, space page, or space **⋮** menu): choose the space, enter a title, and write the content. Only spaces where you can write are offered.

To create a sub-page: **New sub-page** in the **⋮** menu of a page, or **Create** in the **Sub-pages**.

### Edit a page

**Double-click** in a page’s content, or choose **Edit** from its menu **⋮**. The editor supports common formatting: headings, bold, italics, lists, quotes, code blocks, and tables. Images are not supported. Finish with **Save**.

### Reorganize pages

The pages of a space are reordered by **drag and drop**, from the space page or the side menu. To make it a sub-page, drag it under the parent page by shifting it to the right; shifting it to the left brings it back to the first level. A page cannot change spaces.

### The ⋮ menu of a page

Available on the page itself, in the list of pages, on the space page, and in the side menu (on mobile, it opens at the bottom of the screen):

* **Edit** ;
* **New sub-page** (first-level pages);
* **History** : the **last 10 changes** are kept, with a preview of each version. **Restore** a version creates a new version: nothing is deleted;
* **Info** : shown when the page was written or modified with the AI Assistant;
* **Delete** : deletes the page **and its sub-pages**.

## Search

* The search in the **Pages** and in a space applies to the **titles and content** of pages;
* wiki pages also appear in **global search** Steeple.

Only pages from spaces you have access to are found.

## Share a page in Messaging

From the **+** button in a conversation, a wiki page can be shared as a Steeple content item, or created directly.

Administrators can read and edit all spaces.

## What the assistant can do

* **Answer from wiki content** : pages are indexed like documents, and the assistant cites the pages it relies on;
* **find** a space or a page;
* **create a page** or **complete an existing page**, after confirmation: the proposed content is displayed and can be reviewed and corrected before saving.

The assistant respects the same permissions as you: it only writes in spaces where you can edit. The pages it writes display the action **Info** in their menu.
